Warehouse Admin Support

JOB RESPONSIBILITIES:

Position Summary:

The Warehouse Administrative Support role is responsible for a variety of administrative and clerical tasks to ensure smooth day-to-day operations of the warehouse. Key responsibilities include reviewing incoming emails, determining necessary actions, supporting internal departments and customers, and coordinating administrative functions such as scheduling, data entry, and document management. This role requires strong communication, organizational, and multitasking skills within a dynamic warehouse environment.

Duties & Responsibilities

  • Support and assist all department managers with daily administrative needs

  • Perform administrative duties, including collecting paperwork, scanning, and signing in guests

  • Coordinate meetings, compile meeting materials, and create presentations

  • Organize and schedule appointments and meetings; take detailed minutes

  • Answer and direct phone calls and respond to emails

  • Write and distribute internal and external correspondence (emails, memos, letters, etc.)

  • Assist in the preparation of regularly scheduled reports

  • Develop and maintain organized filing systems and accurate record keeping

  • Update and maintain office policies and procedures

  • Monitor purchasing to identify the best deals on supplies and vendors

  • Maintain and update contact lists

  • Greet and provide general support to visitors and guests

  • Act as a liaison between internal teams and external clients/customers

  • Perform request tracking data entry and maintain logs

  • Follow up on purchase orders, drop shipments, and removals

  • Create and close task cards; generate sales orders (SOs), invoices, MSRs, POs, and quotes

  • Create monthly task cards for all departments

  • Other duties as assigned

Required Qualifications

  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word)

  • Ability to type a minimum of 30 words per minute

  • Knowledge of office management systems and standard procedures

  • Working familiarity with office equipment (e.g., printers, fax machines)

  • Strong time management and task prioritization skills

  • High attention to detail and solid problem-solving abilities

  • Ability to thrive in a fast-paced environment and follow/give directions

  • Excellent written and verbal communication skills

  • Strong organizational abilities with the capacity to multi-task effectively

Preferred Qualifications

  • 2–4 years of experience as an administrative assistant, virtual assistant, or office admin assistant

  • High school diploma or GED equivalent

Travel

  • No travel required for this position

Language

  • Must be able to read, write, speak, and understand English

Physical Demands

  • Ability to lift up to 30 lbs. occasionally

  • Must be able to walk, carry, push, climb, and reach regularly

  • Must be able to work standing for long periods when necessary

Working Conditions

  • Work environment is 100% warehouse and outdoors

  • Must be comfortable working in a range of environmental conditions (e.g., varying temperatures, dust, noise)

  • Personal Protective Equipment (PPE) may be required depending on the task
